Customer Service Representative

Responsibility
 Maintain good customer relationship, be a good contact window between customer and the company. Do
best to meet customer demand.
 Follow order management procedure. Ensure no mistake in any data entry and record.
 Track account receivable and ensure receiving payment on time.

Communication structure
Internal: MD , MP&L, Warehouse , Production, Finance
External: Customers, forwarders

Qualifications
Good command in English and/or Germany reading, writing and listening, speaking is a plus.
3 years or above Experience in customer service/logistics
Experience in working with ERP
Proficiency in MS Office Products (Word, Excel, Power Point).
Work experience in international company or organization is preferable.

Yêu Cầu Công Việc

Target and Purpose
Fully understand customer demand, implement sufficient and efficient communication with both customer and internal departments, to achieve maximum customer satisfaction and on time delivery.
Processes / Sub-processes; Name, including start-/end-Event; Process activities / Main functions
 Process order entry in ERP system, ensure these entries are accurate.
 Prepare shipping documents, proceed freight booking, liaise with MPL,production, warehouse, customs and forwarders to ensure delivery of outgoing shipments are picked up on
time.
 Send invoice or other bills to customer and track receivables
timely. Write off invoice in ERP based on received payment.
 Communicate with customer for shipping schedule, forecast,
and any other demand or emergency.
 Pass customer demand to MPL department timely and
accurately, make sure they fully understand, and input into
production plan correctly.
 Maintain different kinds of reports and record.
 Monitor production status by checking system report and
communicating with MPL, Production, to ensure customer
requested shipping plan can be achieved.
 Assist in investigation of customer complaints, handle return
and exchange.
 Attend CFT meetings, understand meeting subject, and take
actions according to meeting minutes.

Decision-making powers / skills
 Report to manager and inform customer when there’s anything unexpected happen and break the shipping plan。
 Select good forwarder based on price and service quality.
 Initiative, able to work independently.
 Excellent communication and negotiation skills.
 Excellent organization skill and sense of judgement
